Exhibitor and Sponsor Information

Join the AAFP on October 3 and 4, and then again on October 24 and 25 for a fully virtual conference experience. The conference format is designed to provide for shorter days than would be in person, and take place over the course of two weekends in order to give you and our attendees the opportunity to space out the time spent on their computer. It also allows attendees to have adequate time to process all of the information from the first weekend, re-engage, and provide additional time to access the on-demand content. All content, including your exhibit booth details, will be available on demand until December 31st.

The agenda for the virtual conference will promote “LIVE Exhibit Hall Hours” where the hall will be “open,” as well as have specified exhibit hall break times to draw attendees to your booth to engage with you directly, including via video chats. The full agenda for the virtual meeting will be available within the next few weeks.

 

Why Exhibit Virtually?

Due to current circumstances our conference is going virtual. We are still committed to providing our attendees, exhibitors, and sponsors with the high-quality AAFP conference experience. Our virtual conference will be hosted on a platform that will allow veterinary professionals to increasing their feline knowledge by offering over 60 hours of CE as well as engage and network with other attendees, exhibitors, sponsors, and speakers. Our attendees will want to visit the virtual exhibit hall in order to explore products and services, ask questions, check out show specials, and see what the exhibitors have to offer. Any company that has attended an AAFP meeting in the past knows that our attendees engage more with you than many other meetings. We expect this to hold true even in a virtual space. Additionally, we will be providing our attendees with information to draw traffic to the exhibit hall, as well as recommendations and ways to engage with you and your booth. Many of the features of the virtual exhibit booth allow for you to create your own opportunities to draw in attendees which we will be promoting for you.

 

Virtual Exhibit Booth Features

Our interactive virtual exhibit hall will offer many interactive elements and upgraded features. Attendees will be able to navigate to your booth using the interactive floorplan or sorting by company name, product/service category, logo, or search button.

The virtual exhibit hall will be “open” and have live hours during the 4 conference days. Your virtual exhibit booth will be available for attendees to view at any time over a 3 month period. In the virtual conference, should you choose, you will be able to allocate less staff than an in-person booth which gives you much more flexibility. The virtual conference platform allows for a few other options should you wish you expand your brand and reach. If you are already a registered exhibitor, these items can be added in your exhibitor portal. Contact exhibitor@catvets.com for more information.

Product Showcase – Feature and highlight your product outside of the exhibit hall in our Product Showcase area. You will be able to include a product description, image, video, PDF, website link and other information.
Cost: $250

On-demand CE Session – Have you ever wanted to sponsor an education session but your topic didn’t align with the theme of the meeting, or you did not have the budget for larger events like a Lunch and Learn? Now is your chance to sponsor an on-demand CE hour. You choose the topic and speaker which must be approved by the Conference Task Force. You make arrangements and coordinate with the speaker. Sessions are available for three months to all registered attendees. These sessions are limited and are first come, first served.
Cost: $1,500

Program Book Ad – We will still be offering our Online Program Book so attendees can plan their learning. The Program Book will be utilized as it contains the full educational information such as agendas, session abstracts, and speaker bios.  It will also feature a “Roadmap to the Virtual Conference” and explain technology features, ways to engage, and convey how to make the most of the conference experience. All Additional Opportunities

 

2020 Booth Refund, Cancellation, or Roll Over Options

For those exhibitors registered before July 2, 2020, below are the options in which to choose. Please email exhibitor@catvets.com when you make a decision or if you have any questions.

Option 1: Only if you have paid in full:

1.a. Apply $750 of your payment to the 2020 virtual booth and apply the remaining funds to the 2021 Conference.

1.b. Apply $750 of your payment to the 2020 virtual booth and refund the remaining amount.

Option 2: Only if you have made a deposit:

Pay the difference between the $750 2020 virtual booth and your deposit. We will provide an updated invoice.

Option 3:

Apply all paid funds to the 2021 Conference and don’t take part in the 2020 Virtual Conference.

Option 4:

Refund all funds to the original source of payment and don’t take part in the 2020 Virtual Conference.

 

Bag Inserts

Please note that we will not be offering bag inserts for exhibitors for the virtual conference. If you purchased a bag insert already for the 2020 Conference, we will be refunding you or applying it to next year per the option you choose above. The prices of other items such as a New Product Gallery Panel (now known as the Product Showcase) and a Program Book ad have been reduced. If you purchased one of those items already, the difference will be refunded to you.

2021 AAFP Annual Conference

The 2021 AAFP Annual Conference will take place from September 30 – October 3, 2021 at the Phoenix Convention Center in Phoenix, Arizona. Exhibitor registration for the 2021 Conference will be available in fall of 2020.
